Import Excel and CSV Supplier Invoices Into Shopify (Letterheads, Subtotals and Totals Included)

A supplier emails you a spreadsheet and you think, finally, no PDF. Then you open it. The first six rows are the supplier's name, address and order date. The item table starts on row seven. A "Subtotal" line sits halfway down because the order is split by department, and the bottom of the sheet has freight, tax and a grand total. None of that belongs in Shopify, and all of it sits between you and an upload.

Why a "Clean" Spreadsheet Invoice Still Breaks an Import

Shopify's inventory and product imports expect their own column template, with the header on row one and one product per row. A supplier file breaks that contract in four predictable ways:

The By-Hand Cleanup (and Why It Costs You Every Week)

Doing it yourself is a five-step ritual: delete the letterhead rows, delete the subtotal and footer rows, rename the columns to Shopify's names, check that SKUs did not turn into numbers or lose leading zeros, and save as CSV. It takes ten to twenty minutes on a clean file and much longer on a bad one. The worst part is that it repeats. The same supplier sends the same messy layout every week, and you redo the same surgery.

It also hides a risk. Deleting the footer means deleting the printed total, which was your only quick check that you did not drop a line. For a longer comparison of the receiving options, see CSV vs PDF vs barcode receiving .

Uploading a supplier file and reviewing the lines it finds.

What Smart Restock Reads Without the Surgery

Smart Restock accepts Excel (.xlsx, .xls, .xlsm) and CSV invoices as well as PDFs and scans. For spreadsheets it handles the layout problems above directly:

From there the flow is the same as for any invoice: lines are matched to your variants (see how matching works ), you review them, and nothing changes in Shopify until you post.

A Worked Example: A Hardware Distributor's Weekly Excel File

Picture a hardware distributor's weekly file. Rows one to five hold the company name, address, an "Order date:" label and an order number. Row six is blank. Row seven has the column names: Item No, UPC, Description, Qty, Unit Cost, Amount. There are 140 product rows, with a "Fasteners subtotal" row after row 60 and a "Plumbing subtotal" row after row 110. Below the last product are lines for freight, tax and the invoice total.

By hand, you delete rows one to six, delete the two subtotals and the footer, and rename six columns. In review, the file loads as 140 lines. The two subtotal rows are skipped because product rows follow them, and the freight, tax and total lines are read as invoice totals instead of products. You compare the printed total to the one on screen, match any unfamiliar UPCs, and post. The next week's file has the same layout, so the cleanup you would have repeated simply does not exist. Our hardware SKU guide covers the matching side of that same workflow.

Where Spreadsheet Invoices Still Need You

Be realistic about the edges. Only the first sheet of a workbook is read, so if the invoice sits behind a cover tab, move it to the front or save it on its own. The CSV reader expects commas, not semicolons or tabs. A heavily merged or multi-table layout, for example two item tables side by side, may not read cleanly. And a supplier who prints a total in a cell that is not labelled with one of the usual words will see it treated as an ordinary row for you to review.

The review screen is the safety net for all of these. If a line looks wrong, you fix it before it posts, and if a posted invoice was wrong, you can undo it .
